Your privacy is important to Akveo Inc. and its affiliates (“Akveo”, “us”, “our” or “we”). Akveo is committed to protecting the privacy and security of your personal information.
The purpose of this Applicant and Candidate Privacy Notice (“Notice”) is to set out how we collect, use, store, or otherwise process personal information about job applicants and/or candidates (collectively, “you”, “your”). Akveo may update this Notice at any time. When possible, we will notify you of substantial changes to the Notice.
The Data Controller for data protection purposes is the relevant Akveo entity based on the country of the role you are applying for. The details of the relevant entities are provided below. We may share your personal information within different Akveo entities, and this Notice applies to any Akveo entity processing your personal data as a data controller.
This Notice does not imply in any way any contract of employment or contract for services or any other relationship between you and Akveo.
It is important that you read this Notice so that you are aware of how and why we use your personal data.
Personal data means any information relating to you that identifies you or could reasonably be used to identify you, and that is recorded in any form. It does not include data where the identity has been removed (anonymous data).
Personal information about you that we may use, store, or otherwise process includes:
There are categories of personal data which are “more sensitive” and require a higher level of protection. We do not routinely collect, store or use any special categories of personal data as part of our recruitment activities. When applying, please avoid including any sensitive personal information (e.g., health information, information on family relations, etc.) or other information that is not necessary for the recruitment process.
Akveo, as Data Controller, collects, processes, and uses the personal data you submit through the following channels:

Additionally, we may collect and process your personal data from the following publicly available sources, provided collection of the data is necessary and relevant to the performance of the job which you apply for and provided we are allowed to do so by national laws (“direct search”): LinkedIn, Facebook, Instagram, Twitter, Google, Telegram and other social media platforms.
Any personal data you provide to Akveo will be used to process your application for the specific position you have applied for. In accordance with applicable law, your personal data may be retained and used to process your application for other open positions within Akveo (and its affiliates) which may be suitable, unless you object to such processing in which case they will be deleted.
The processing of your personal data is based on Article 6(1)(b) of the GDPR. We need your personal data in order to conduct the recruitment process, and we will not be able to consider you for a job offer when you do not provide us with your personal data.
Any processing of personal data from other sources is based on Article 6(f) of the GDPR.
When we retain your personal data for other open positions, we do this based on Article 6(1)(f) of the GDPR and in order to give you the possibility to work with us in the future, even though we are currently unable to offer you a position.
We will delete your personal data as soon as it becomes clear that an offer of employment will not be made to you or is not accepted by you, unless we believe that you might be suitable for other future open positions and you have not objected to this, or unless we need to retain your personal data for the preparation, filing or defense of legal claims. If we retain your personal data for other open positions, we will not store your personal data for this purpose for longer than 2 (two) years.
You may withdraw your consent to Akveo retaining your personal data beyond the initial 2 (two) years period after an unsuccessful application.
Let’s suppose you do not consent to the further retention of your data or you withdraw your consent. In that case, unless we are required to keep your data for a longer period by law, Akveo will take reasonable steps to delete your personal data or create a dummy profile with only one data field (such as your email address) to help link any future applications. In some circumstances, we may anonymise your personal information so that it can no longer be associated with you, in which case we may use such information without further notice to you.
Akveo uses appropriate administrative, technical, personnel, and physical measures to protect your personal data. Your personal data is also protected through the confidentiality obligations entered into/taken by all individuals having access to your personal data. We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.
When you are represented by a recruitment agency, we will share information about your recruitment activity (such as interview feedback, any offers, etc.) so they can discuss it with you.
We may share your personal information within different Akveo entities so that they can contact you about the specific position you applied for and future job openings.
For these reasons your personal data may also be transferred outside the European Union or the European Economic Area. In such a case, Akveo guarantees an adequate level of personal data protection, including but not limited to, by entering into standard data protection clauses adopted by the European Commission with its affiliates and contractors.
Akveo may need to disclose all or any part of your personal information if required to do so by law, or pursuant to a request from a governmental or regulatory entity/body or if Akveo believes in good faith that such disclosure is necessary to (1) comply with legal or regulatory requirements or for the purposes of compliance with legal process; (2) prevent crime; (3) prevent any terrorist activity or threat to national security; (4) protect the safety or wellbeing of users of our staff or any other person.
Akveo may engage third-party service providers, such as recruitment agencies/search firms and providers of recruiting software and applicant tracking systems, such as: Google Workspace's (formerly G Suite) by Google LLC, USA (cloud services) and Huntflow AM LLC, Armenia (hiring management platform), with whom Akveo have entered into agreements as part of its normal business operations to carry out recruitment-related functions. Akveo diligently selects such service providers and enters into written agreements with them ensuring that such providers (i) have adopted adequate data protection and security measures to safeguard your personal data; (ii) only use your data as instructed by Akveo and for no other purposes; and (iii) store your personal data only within the terms of the agreement. Each third-party service provider guarantees an adequate level of personal data protection, including but not limited to, by entering into standard data protection clauses adopted by the European Commission where applicable.
